Part-time Marketing Assistant

The New York Philharmonic seeks a Part-time Marketing Assistant, a key member of the New York Philharmonic Marketing & Brand department. He or she will work closely with the Vice President, Marketing & Brand; the Director, Marketing; and across the Marketing, Group Sales, and Design Services teams to provide administrative support and assist with marketing promotional activities.

The candidate should be passionate about music and the performing arts and interested in the opportunity to learn and grow in a fast-paced and high-performing environment.

The number of hours worked per week are flexible. Shifts are scheduled Monday through Friday
between 9-am and 6-pm.

Responsibilities include but not limited to:
• Provide administrative support to the Marketing department.
• In collaboration with the Marketing Coordinator, execute online research of potential marketing partners and new audience targets and reach out via email or phone to establish connections and plan cross-promotions.
• Compile analysis of promotion success from partner discounts and make recommendations for future campaigns.
• Assist with actualizing the department budget and accurately code and process invoices for payment.
• Assist the marketing leadership team with scheduling meetings and updating calendars.
• Input data and generate reports from strategic marketing and media planning tool. Send reminders to marketing staff on incomplete marketing plans and upcoming deadlines.
• Assist the Vice President, Marketing & Brand and Director, Marketing with ad hoc research projects.
• Assist email marketing staff with trafficking emails and collecting and collating comments.
• Proofread marketing correspondence as requested.
• Place orders for office supplies and catering for meetings.
• Field marketing inquiries via the marketing phone extension.
• Coordinate with the Design Services team to collect samples of all printed marketing materials, and file and catalog them.
• Execute ad hoc database tasks, including running reports and updating contact details for optouts.
• Provide vacation coverage for other positions in the department as needed.
• Miscellaneous duties as required.

The ideal candidate will have a college degree with 1-2 years of work or intern experience in marketing, public relations, or customer service required. Demonstrated proficiency with Microsoft Excel, Outlook, and Word required, including experience scheduling Outlook calendar meetings.

Excellent oral and written communication skills and strong attention to detail required. Keen interest in marketing related topics and challenges required. Experience working within the entertainment or performing arts sector preferred. Candidate should have the ability to work effectively in a fast-paced environment and possess excellent interpersonal communication skills.
