Financial & Artistic Administrator
NI Opera are recruiting a self-motivated and enthusiastic team player with experience in financial management. As a key member of a busy office team, the role will include day-to-day operational issues, book keeping, payroll, preparing and managing budgets, scheduling, negotiating contracts and booking travel and accommodation.
An aspirant applicant should be a graduate, an experienced user of Microsoft Office/Excel, and must have strong inter-personal skills and the ability to work well under pressure. Knowledge of Sage accounting software and some experience/interest in the arts are also desirable. Financial & Artistic Administrator – Job Description
Financial Management:
To maintain financial systems using Sage to ensure the smooth daily management of the Company finances; to handle all payments, invoices, payroll and expenses; to ensure good value for money in any Company purchases; to manage the Company accounts in liaison with the Financial Director; to submit all financial data for the fulfilment of ACNI and other funder obligations and reports; to maintain the yearly company master budget and all relevant spread-sheets and data
Organisation:
To help manage (with the General Manager) the day to day affairs of the Company; to act as the point of contact between the production team and the NI Opera office for each production or event, including the drafting and distribution of schedules; to assist with issues relating to Health and Safety/insurance and Child Protection policy and procedures; any other administrative tasks as needed.
Company Management:
To work with key permanent and freelance staff in booking accommodation and travel; to book rehearsal spaces in conjunction with the Production Manager; manage the audition, casting and contracting process, including negotiation with agents where necessary; to support all freelance artists engaged by the Company; to organise the hire of scores, rights and translations; manage the recruitment of chorus and extra orchestral players where necessary, in conjunction with the General Manager; deal with venue contracts for touring productions; Front of House duties.
Essential Criteria
- Experience in financial management and spread-sheets
- The ability to work with enthusiasm, energy, and attention to detail
- Be able to work well under pressure and with a large workload in a busy opera company
- A positive telephone and inter-personal manner
Desirable Criteria
- Knowledge of Sage accounting software
- A university degree
- Experience in the arts (especially dance, classical music, opera or theatre)
- Capable of working with children
